Anidjar & Levine, P.A.
Courting the paper-intensive justice system with affordable
document management
Industry/Solution
Legal - Personal Injury
Anidjar & Levine, P.A., a Fort Lauderdale,
Fla. based personal injury law firm, prides
itself on aggressively protecting the injured,
and handling all aspects of clients’ claims.
The good news is that they're a trusted firm,
with a reputation of being thorough, and that
reputation means they now juggle numerous
phone calls a day from clients, the courts,
and other attorneys. Most phone calls mean
needing instant access to reams of documents
from various sources or the bureaucratic
legal process can't move forward. On
top of that, email negotiations
and consultations
are a constant
flow in and out of the
office.
To manage its growing
client base, the
firm faced big challenges:
To accelerate
the business process,
avoid misplaced
documents, improve
communication, and
make sure the systems
were reliable
enough to be up and
running 24/7. Keeping
up and staying ahead
of the process is important in any business,
but a misplaced document or inaccessible
file in a personal injury law firm could mean
an innocent victim loses their case.
Lassoing the Hectic Everything-in-Triplicate Legal Process
Marc Anidjar, a partner at the firm, compared
several document management systems
in the marketplace, and was pleasantly
surprised that the system that fit the firm's
needs the most was also the most affordable.
He chose Cabinet NG (CNG) and their
Shared Access Filing Environment (CNG-SAFE).
“Believe it or not, we’ve had
situations where we were looking
for files that we didn’t even
have anymore,” said Anidjar.“Now we can save all of our
information for as long as we
want, and are able to retrieve
older information even if it’s not
used that often because it will
always be stored on the system.”
CNG’s intuitive, secure, and
affordable electronic filing approach
provides a way to
achieve a paperless office that
scales with business growth.
Because documents are stored
and organized properly in CNG-SAFE, they
don't get lost and the overall workload is
reduced because personnel are not wasting
time looking for documents. With files at
their fingertips, the program consolidates information into a multi-user workflow environment
that is secure, efficient, and accessible to
all of its users.
Anidjar heard about CNG from a friend at another
personal injury law firm who was using the software.“We looked at other leading products as
well, and while most offered similarities, CNG-SAFE
is more cost effective," Anidjar said. "Its
workflow and file management capabilities are
top notch, so we reached out to CNG for their
services, saw a demo and immediately signed on
as a client. We initially started with 14 user licenses,
but have grown to 22 users in less than
a year.”
The law firm uses CNG-SAFE’s workflow capability
to help move files from department to department.
With CNG-SAFE, documents can be
easily scanned and routed to the appropriate person
for immediate review.
“We always know where the document is, its
status and can easily access our client’s information
to answer any questions, even when we’re
on the phone,” said Anidjar.
Anidjar said the top three areas of improvement
CNG brings to the law firm are efficiency, cost
control, and the overall organization of the company.
CNG-SAFE is also pretty self explanatory
and very user friendly since it has a file structure
mimics the physical filing metaphor of cabinets,
folders, and organization tabs the firm was already
accustomed to using. Nonetheless, CNG
provides training and support for their products,
so all users get up to speed quickly, which in turn
makes the return on investment for the program
that much quicker.
Save Money and Win More Clients
By incorporating CNG-SAFE and applying it into
their daily business workflow, Anidjar & Levine is
better at organizing and managing their current
cases, and now have the ability to handle more
cases.
Fueled by growth, the firm increased its CNG
licenses by 63% over the last year. Not only has
the firm realized cost savings, it also increased
its productivity – two of the main goals of any
business model. Clients receive better service
and human filing errors are minimized.
“First, companies need to really take a look at
their associated costs and volume of their business,"
said Anidjar. "Specifically, if they are a
medium or large firm – they need to make sure
that any types of add-ons are going to be an
added benefit.”
Anidjar's firm spends so much time doing miniscule
tasks it was important to find ways to
streamline those tasks to create a bigger volume.
Especially with the downed economy, if people
are cutting back staff to save money, a document
management and workflow product helps pick up
the slack.
"Now you can save money by not paying someone
an hourly rate to do something so trivial,”
said Anidjar.
As companies continue to grow their business
and include more in their services for clients,
Anidjar & Levine remains confident that CNG is
behind them, ensuring that they can continue to
provide their clients with the quality and service
they have come to expect.
